How a Wi-Fi QR code works
A Wi-Fi QR code contains a short piece of text in a format phones recognise, for example:
WIFI:T:WPA;S:Harbour-Guest;P:sea-breeze-2291;;
T is the security type, S the network name (SSID) and P the password. When someone points their camera at the code, the phone offers to join the network – no typing, no mistakes with l and 1. iPhones since iOS 11 and Android phones since Android 10 can do this from the camera or the Wi-Fi settings screen; on some older Android phones it takes Google Lens or a scanner app.
The code is static: the details are inside the pattern, and nothing is looked up online when it’s scanned. That also means a card keeps working until you change the network’s name or password.
Prepare your list
Create a sheet with one row per network (or per card you want to print) and columns such as Location, SSID, Password and Security. The generator matches common column names automatically, and you can change any mapping in step 2. You can start from the example Wi-Fi spreadsheet (CSV) used above.
- Security accepts values like WPA, WPA2, WPA3, WEP or None. WPA2 and WPA3 networks both use the
WPAtype in the code; phones negotiate the rest. If every network uses the same type, choose it once instead of using a column. - Open networks (no password) should have Security set to None, otherwise the row is flagged as missing a password.
- Hidden networks that don’t broadcast their name need the “Hidden network” option ticked so phones know to look for them.
Special characters are escaped for you
Semicolons, commas, colons, quotes and backslashes have special meaning inside a Wi-Fi code, so a password like Gull;Pier,7:"lighthouse" must be written with backslashes before those characters. Getting this wrong is the most common reason hand-made Wi-Fi codes fail. The generator escapes every SSID and password automatically, and the second and third rows of the example show it working. The preview in step 4 lets you open any card and read the exact text stored in it.
It also checks each row: an SSID longer than 32 bytes, a WPA password outside the 8–63 character range, or a WEP key of the wrong length is flagged before you print.
Think before you print a password
Anyone who can see a Wi-Fi card can join that network, and a photo of the card works as well as the card itself. A few habits keep that safe:
- Use a guest network. Most routers and access points can run a separate guest SSID that is isolated from your own computers, printers and cameras. Put that one on the cards, never your main network.
- Plan for password changes. Because the codes are static, changing a password means reprinting. Keep the spreadsheet: update the password column, regenerate and print – it takes a minute.
- Keep cards out of public photos and listings. Show them inside the room or at the desk, not in the window or on a booking website.
Your list of passwords is never uploaded while you make the cards: the spreadsheet is read and the codes are drawn entirely in your browser.
Where bulk Wi-Fi cards save time
- Hotels, B&Bs and holiday lets One card per room or unit, each with its own network or password.
- Offices and coworking spaces Visitor cards for meeting rooms and reception, refreshed when the guest password rotates.
- Events and conferences Codes for badges, table cards and signage at every hall or stand.
- Cafés, schools and libraries Table tents, classroom posters and desk stickers that stop the “what’s the Wi-Fi?” questions.
Printing the cards
The example uses a custom grid of two columns by four rows on A4 with thin cut guides, which gives cards of about 93 × 68 mm – a little larger than a business card. Switch to US Letter or change the grid in step 5, or pick an Avery label sheet if you would rather print stickers.
Include the network name and password in the caption, as the example does, so people without a camera app can still type them. Error-correction level Q is a good choice for cards that get handled a lot, and laminating or using a matte card stock helps them last. Print one page first and test a card with two different phones before you print the lot.
