How to convert a bank statement to Excel
- Download the PDF. In your online banking, open the statement and save it as a PDF. Most banks offer one per month; a year of them is fine.
- Add the statements. Drop them into the converter. If a statement asks for a password, type it in; it stays in your browser.
- Check the preview. Look through the transactions sheet: one row per payment, with the columns your bank uses.
- Download. Get an Excel workbook, or one per statement in a ZIP, and start sorting, filtering and adding up.
What you get
- One row per transaction. Long descriptions that wrap onto a second or third line in the PDF are joined back into a single cell, so every payment stays on its own row.
- Real dates. 01/03/2024, 1 Mar 2024 and 2024-03-01 all become Excel dates you can sort and group by month. Whether 01/03/2024 is 1 March or 3 January is worked out from the statement itself, using clues such as dates that can only be read one way, how close together the dates fall, and the currency. If it's a guess, the preview says so in step 2 and one click switches it, or you can set “Dates in these PDFs” in step 3.
- Amounts as numbers. Money in, money out and the balance are numbers, with currency signs and thousands separators understood. Overdrawn balances marked OD or DR, amounts in brackets and trailing minus signs come out negative.
- Every page in one table. A statement that runs over many pages is joined into one table, and the column headings printed at the top of each page appear only once. Page headers and footers, such as page numbers, are kept out of the table, and the file's notes say how many lines were moved.
- Account details stay as they are. Account numbers, sort codes and reference numbers are kept as text, so no digits or leading zeros are lost.
- Many statements at once. Add a year's worth and download a workbook per statement, or one workbook with a sheet for each.
Check the result before you rely on it
The converter is careful, but a statement is a financial record, so it's worth two minutes of checking:
- Compare the balances. The last balance in the sheet should match the closing balance on the statement.
- Watch the forward rows. "Brought forward" and "carried forward" rows are kept so the sheet matches the statement. Filter them out before adding up a column.
- Look at the dates. If your bank prints dates without a year (04 Mar), they stay as text; add the year with a formula when you need real dates. If step 2 says the order of dates such as 01/03/2024 was a guess, check one date you know, such as the statement date.
- Dates printed once per day. Some banks print the date only on a day's first transaction. The converter copies it to that day's other transactions, in italics, so you can sort and group by date. Balance-forward, total and closing-balance rows stay undated, as in the PDF.
Scanned paper statements are pictures of text, with no text to read, so they can't be converted. A statement that is only scanned pages is left out of the download: download the digital statement from your online banking instead, or run the scan through text recognition (OCR) first. Pages the converter recognises as scanned are reported instead of guessed at; if a statement gives you no tables and you can't select its text, it's a scan.
Frequently asked questions
Which banks' statements work?
Any bank or card provider whose statements are digital PDFs, which covers statements downloaded from online banking. The converter doesn't rely on a list of banks; it reads the layout of each statement. Scanned paper statements are pictures, with no text to read, so they can't be converted: download the statement from your online banking instead, or run the scan through text recognition (OCR) first.
Is my statement uploaded anywhere?
No. The statement is opened and converted by your own browser, and the workbook is created on your device. Nothing from it is sent to us or to anyone else.
My statement is password-protected. Can I still convert it?
Yes. Many banks protect e-statements with a password such as your date of birth. The converter asks for it, uses it only in your browser to open the file, and never stores it.
Can I convert a whole year of statements at once?
Yes. Add all twelve PDFs together. Download a ZIP with one workbook per statement, or one workbook with a sheet for each month.
Why is a date shown as text?
Some banks print dates without the year, such as 04 Mar. As the year can't be known for certain, those dates are kept exactly as printed. To make them real dates in Excel, add the year with a formula such as =DATEVALUE(A2&" 2024"). Dates are also kept as text when a statement has dates that can only be read day first and others that can only be read month first, because the ones that could be either can't be settled; choose Day first (31/12) or Month first (12/31) under “Dates in these PDFs” in step 3 to make them dates.
Are the brought forward and carried forward rows included?
Yes, they are kept so the sheet matches the statement line for line. If you add up the balance or amount columns, filter those rows out first.
